Receivables roll-forward

DEFINITION

A receivables roll-forward reconciles the movement in accounts receivable over a reporting period: beginning balance plus new sales, minus collections, dilution, and write-offs, equals the ending balance. Lenders use it to verify that reported activity explains the change in the pool, and an unexplained difference is one of the fastest ways to trigger scrutiny.

Why every servicer report starts with a roll-forward

The roll-forward is the integrity check on everything else. Aging, dilution ratios, and default ratios all come from the same activity data, so if the roll-forward does not tie, the lender has no reason to trust the ratios either. Field examiners test it first for the same reason auditors test cash first: it is where problems surface.

It also carries information on its own. Collections against beginning receivables reveal the true pace of cash conversion, and the dilution line quantifies credit memo activity that a plain aging hides.

That $180,000 is the interesting number. Common culprits: unapplied cash posted to the ledger but not matched to invoices, intercompany transfers booked through AR, a currency revaluation, or sales recorded in the ledger after the activity file was cut. Most agreements tolerate small timing differences but expect them identified, not shrugged at.

Getting the categories right

  • Collections means cash applied to invoices, not cash received. Unapplied receipts belong in their own line until matched.
  • Dilution and write-offs must be split: dilution feeds the dilution reserve, write-offs feed the default and loss calculations, and mixing them corrupts both.
  • Sales should be gross invoiced amounts, with credit rebills shown as a sale plus a credit rather than netted invisibly.
  • Period cutoffs must match the aging file exactly. A roll-forward built from a Tuesday extract will never tie to a month end aging.

How is a roll-forward different from an aging report?+
The aging is a snapshot of open invoices at a point in time, bucketed by days outstanding. The roll-forward is a movie: it explains how the balance got from last period's snapshot to this one. Lenders want both because the aging shows condition and the roll-forward proves the activity behind it.
What is an acceptable unexplained difference?+
There is no universal threshold, and this varies by facility and examiner. In practice small timing differences that reverse next period draw little attention if they are identified. A recurring or growing unexplained residual is what raises questions, because it suggests the activity data and the ledger are drifting apart.
Why do lenders care about the dilution line specifically?+
Because dilution is the easiest number to bury. Netting credit memos against sales makes both the sales and dilution lines look better while the dilution reserve quietly understates risk. A clean roll-forward with dilution shown gross is the primary control against that.
